Old Westbury's equipment room covers 400 square feet to provide gear to more than 150 Panther athletes. The equipment room is located in the Clark Athletic Center.
The equipment room is staffed by one full-time employee, in addition to a handful of undergraduate work-study students.
The equipment room is responsible for ordering clothing, shoes and othe equipment for all Old Westbury student-athletes and coaches.
CLARK ATHLETIC CENTER EQUIPMENT ROOM POLICIES AND PROCEDURES
Equipment Room Policy:
• The equipment room will be open by appointment only.
• The equipment room staff and trainers will have daily access to the laundry room.
• It is against the SUNY Old Westbury Athletic Department’s policy for any student athlete to be unsupervised in the equipment room.
• If there is an equipment emergency, the athletic department’s equipment manager should be contacted immediately via the phone X3463, (347)-840-0946, or in person, an e-mail will not be handled as an emergency situation. This notification should come from the coaching staff, emergencies would be classified as the following but not limited to; a missing game uniform item, a missing practice gear item, a security breach within the locker room.
• All equipment will be issued to the head coach before the first practice and there will be a secure area for you to store it in for your season. It is the coaching staff’s responsibility to notify the equipment manager of equipment problems during the season. (I.e. broken helmet, flat balls, missing cones).
• If there is equipment that you do not want or do not use for an extended period of time the equipment staff will store it for you, and will issue the equipment upon the head coaches request.
• Inventory will be done twice a school year before the start of the traditional season and immediately following the season. The inventory can be sent to the head coach upon request.

• The equipment staff will only support your traditional season with regards to laundry and daily assistance with equipment.
Locker Room Policy:
• Each student athlete cleared for practice and or competition will choose a locker within the appropriate locker room. The athletes, and coaching staff will have a seasonal code. The seasonal codes will be effective on the following dates.
? Fall 8/15-11/15
? Winter 10/15- 3/15
? Spring 1/25-5/15
• The training staff, equipment staff, and administration will have access to these rooms with an electronic code. Each administrator has a code; there is a specific team code, and not less than two equipment staff codes. (This ensures the ability to monitor who has access to that room)
• All game and practice uniforms will be washed by the equipment staff. This will ensure that damage will be limited and a daily inventory can be maintained on both practice gear, and game uniforms.
• The laundry will be done daily and the student athletes will only be issued gear and uniforms that have been washed and dried by the equipment staff. The practice uniforms will be issued no later than 1 hour before the listed practice time. The game uniforms will be issued no later than 30 minutes prior to departure or three hours before a home game.
• All uniform items game or practice will be matched to the Student athlete’s jersey number. (I.e. if the athlete chooses #99, they will have a 99 on their jersey, #99 shorts/pants, #99 socks, #99 warm up #99 laundry loop and #99 practice gear.)
• All game uniforms will be issued or packed for travel within 24 hours of the next game. Home games each eligible and healthy player should find there uniform jersey hanging in their locker, with their pants/shorts, socks, and warm ups in the seat of their locker.
• All practice gear will be issued (on the athletes matching laundry loop in the practice gear bucket) no later than 1 hour before the practice time that is provided by the coaching staff at the beginning of the month.
• A weekly e-mail will be sent out confirming listed practices times, all practice adjustments need to be made 48 hours before the originally scheduled slot for the equipment staff to comply with the changes. Any change within 48 hours will not be guaranteed and the practice gear may or may not be provided within the new time.
Issuing and collection policy:
• All student athletes will meet with the equipment staff at the start of the traditional season. Fall 8/15 or date of first practice, winter 10/15, spring 1/20 or date of first practice. The expectations that the athlete is required to meet will be explained, and provided in writing as well as the services the staff will provide for them.
• At this time all of the student athletes that will be issued any equipment will be required to read, agree to, and sign a contract spelling out there responsibilities and the penalties that will follow if the responsibilities are not met.
• When the uniforms are initially issued each athlete will check off and agree to return it in the same condition (not withstanding normal wear).
• At the end of the season the coaching staff will make a time to have the entire team meet with the equipment staff. The meeting will not take place any later than 3 days from the last competition. This will be the “exit” for the athlete; this is the time they will hand in their issued items to the equipment staff in person. The athlete will get a copy of the receipt. The receipt it will have the items issued in the beginning and the items returned at the end of the season.
• If any items are missing the Student Athlete will have their account put on hold. Once the item is returned the hold will be removed immediately. If the item is lost, stolen or damaged while in the possession of the athlete they will be responsible for paying the total amount in order to replace that particular item. (A price list will be made available to the athlete when the items are initially issued). A hold will have the following consequences;
? Prevent the athlete from joining any other Old Westbury team,
? The athlete will be unable to register for classes
? The athlete will be unable to receive grades
? The athlete will be unable to transfer
? and The athlete will be unable to get their diploma.
